Key Responsibilities:

  • Answer all incoming calls courteously and professionally, and support staff with outgoing calls as required.
  • Minimize caller wait times; accurately record messages and promptly relay them to the relevant person via the company-issued mobile phone.
  • Ensure the timely dispatch of all outgoing mail, registered mail, morning and evening courier documents, and other daily correspondence.
  • Maintain an accurate, up-to-date, and well-organized tracking system for all incoming and outgoing mail and documents.
  • Maintain a clean, tidy, and welcoming reception area at all times.
  • Log and distribute all hand-delivered documents, mail, and correspondence to the relevant departments or individuals without delay.
  • Ensure the reception area is continuously attended and that calls are answered promptly at all times.
  • Perform any additional Group and Administration-related duties as assigned by Management from time to time.
  • Provide support to other departments within the Group whenever time permits.

Person Specifications:

  • Pleasant, professional appearance and demeanor, with a strong customer-service mindset.
  • Strong organizational and time-management skills; able to multitask and prioritise effectively.
  • High attention to detail and accuracy in record-keeping and message handling.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Maintains confidentiality and handles sensitive information with discretion.
  • Able to manage visitors professionally, including greeting, directing, and issuing visitor passes where applicable.
  • Capable of handling customer/vendor inquiries calmly and efficiently, including resolving basic issues and escalating when needed.
  • Reliable, punctual, and flexible to support administrative needs
