Key Responsibilities:
HR Administration and Compliance
• Provide day-to-day HR administrative support to the HR Manager on routine and ad hoc tasks.
• Act as deputy in HR meetings, including note-taking, chaperone duties, and supporting internal HR investigations when required.
• Assist with drafting Terms of Reference, collating evidence, and preparing documentation to ensure a fair and compliant process.
• Maintain and update staff records across HR systems (e.g. DCME, Iteams), ensuring compliance with dental industry requirements.
• Oversee annual staff file compliance checks.
• Draft and issue contractual changes, staff change letters, and related documentation.
Onboarding and Employee Lifecycle
• Take ownership of new starter onboarding from offer stage, including document collation and file preparation ahead of sign-off.
• Support probationary and staff change processes, ensuring documentation is issued and tracked appropriately.
• Conduct exit interviews as required and record outcomes.
Payroll and HR Systems
• Support payroll processes by maintaining change logs and updating payroll spreadsheets.
• Assist with the administration of HR systems, with input into the transition to a new HRIS in the next 6 months.
Recruitment Support
• Work closely with the part-time Recruitment Coordinator to provide cover for urgent recruitment pipeline activity when required.
General Support and Coverage
• Provide general administrative support to other departments where required to maintain business continuity.
Assist in ad hoc business projects or operational priorities when HR input or coordination is needed.
• Support the wider People Team during periods of leave or increased workload to ensure seamless service delivery.
Key Requirements:
• Minimum 2 years’ experience in an HR support role.
• Experience supporting HR investigations or formal processes is desirable.
• Working towards or achieved CIPD Level 3 (advantageous).
• Strong proficiency in Microsoft Office (Word, Excel, Outlook).
• Familiarity with HRIS and compliance systems such as DCME, PandaDoc, and Iteams
• High attention to detail and accuracy in record-keeping.
• Ability to manage workload effectively and adapt quickly to changing priorities.
